Executive Committee & Committee Chairs Responsibilities



The Burlington Fine Art Association is run solely by member volunteers. The executive committee and committee chairs are an important part of running a successful guild. Here are some descriptions of what each role is responsible for:

BFAA President's Responsibilities:
  1. Preside at all executive, general and special meetings of the BFAA
  2. Be responsible for coordinating the activities of the officers, committee chairs and convenors
  3. Cast the deciding vote at an executive meeting in case of a deadlock

First & Second Vice President's Responsibilities:
  1. First Vice-President shall assume all the responsibilities and powers of the President in the latter's absences and shall perform other duties as required by the President
  2. Second Vice-President shall be responsible for the coordination of programs for the general meetings

Treasurer's Responsibilities:
  1. Keep full and accurate account of receipts and disbursements in the books belonging to the BFAA Note - all records to be kept for at least 7 years
  2. Be responsible for receiving money, banking and reconciliation of BFAA bank statements
  3. Prepare a report for the Executive meetings.
  4. Present an interim annual statement at the AGM
  5. Present a motion at AGM re appointment of auditor for the next fiscal year
  6. Present an annual report to the membership within four months of the end of the fiscal year


Secretary's Responsibilities:
  1. Be responsible for recording and distributing the minutes of BFAA Executive Committee and General Meeting minutes. The minutes shall include:
    i) type of meeting
    ii) name of Chair
    iii) time, place and number present
    iv) approval of the minutes of the previous meeting
    v) reports, motions presented and action taken
    vi) treasurer's report
    vii) correspondence and action taken viii) other businessMaintain current copies of the constitution and bylaws and written material pertaining to the BFAA
  2. Will be one of the signing officers of the BFAA Executive and General Meetings


BFAA Past President's Responsibilities:
  1. Be available to provide for continuity of BFAA procedures
  2. Act as chair of the nominating committee

  • Open Studio Group
Committee Chair Responsibilities:
  1. Shall prepare an annual written report for the executive committee a month prior to the AGM
